JOB DESCRIPTIONS

 Position:  Immediate Past Chairperson

 Objectives of Position 

 To Act as advisor to the Zone Board.

 To carry out special assignments for the Zone Board. 

Responsibilities of the Position

1.  To attend the Zone Board meetings.

2.  To advise the Zone Board on issues requiring an experienced and/or historic perspective.

3.  To sit on committees or lead special task forces as required.

4.  To work closely with the Chairperson to insure consistency and continuity of the Boards operation.

 Qualifications

Having held the position of Chairperson.

Thorough knowledge of the Zone Boards operation.

 Time Commitment:

 6 hours per month.

 Orientation/training

Concepts and leadership skills in Recreation, Planning & Social issues.

Various conferences throughout the year.

Resource material.

 

     

Position:  Chairperson

 Objectives of position

 To promote, conduct and sustain the Zone Board in accordance with its constitution, bylaws and the wishes of the Board.

 To chair or cause to be chaired, Zone Board meetings as required.

 To conduct the business of the Board.

 To act as spokesman of the Board at official functions with the approval of the executive.

 Responsibilities of Position:

 1.  Preside at all general and monthly meetings and prepare agenda items.

2.  Generally supervise the affairs of the Zone Board.

3.  In conjunction with the secretary and the vice-chairperson, decide the manner in which any letters, agreements or other documents shall be signed.

4.  Be an ex-officio member of all committees.

5.     Ensure that all members of the executive and committees perform their assigned duties and that the work load is distributed.

6.     Call an orientation meeting, one week after the Annual General Meeting, for all positions.

7.  Act as a liaison with the Municipal Departments relating to operation matters of the organization.

8.  Promote zone involvement in leisure-time and social activities.

9.  Maintain liaison with zone staff.

10. Represent the Zone Board at public functions.

 Qualifications: 

Must be a voting representative that has attended West Zone Board Meetings for at least 2 years.

Be familiar with the effective running of meetings and good committee operation.

Possess leadership ability; good judgement, patience, tact, courtesy, impartiality and a willingness to allow for self-expression.

Past leadership experience would be a definite asset. 

Time Commitment:      15 hours per month

Volunteer training workshops on running effective meetings and effective Board operation.

           

 

 

Position: Vice Chairperson

 Objectives of the Position:

  To preside in the absence of the Chairperson.

 To assist in carrying out the administrative functions of the organization.

 To, when required, act in an advisory and/or supervisory capacity.

 Responsibilities of the Position:

 1.  Assist the chairperson when called upon and advise Zone Board executive members.

2.  Preside at all meetings in the absence of the Chairperson.

3.  Assist in the control of monies of the organization.

4.  Be responsible for recording motions/discussion at regular meetings to be 'proposed as changes' to the Constitution/Bylaws.

5.  Be Chairperson of the Constitution/Bylaw committee.

6.  Maintain liaison with zone staff.

7.     Liaise with orientation of new executive members. 

Qualifications: 

Be familiar with the effective running of meetings and good committee operation.

Possess leadership ability; good judgement, patience, tact, courtesy, impartiality, and a willingness to allow for self-expression.

6 hours per month. 

Orientation/Training

Position:   Secretary

 Objectives of Position:

  To attend all meetings of the Zone Board and keep an accurate record of the proceedings (minutes).

 To keep files on the operation of the Zone Board.

 To handle the correspondence of the Zone Board .

 Responsibilities of Position:

 1.  Take minutes at all general and executive meetings & forward to the West Zone Board Office for distribution/mail out.

2.  Help prepare an agenda for executive meetings.

3.  Maintain a directory of all Board meetings.

4.  Be responsible for all correspondence of the organization (filing, answering letters, etc.- as directed by the executive).

5.  Help prepare a final report of the year's activities.

6.  Maintain a record of all written Zone Board material.

7.  Ensure necessary zone information is distributed.

8.  Maintain liaison with zone community development staff.

 NOTE: #3-#8,inclusive, become responsibilities of the Secretary in the event that the West Zone Board Office ceases to exist.

 Qualifications:

 Be able to summarize clearly and express ideas well in written form.

Have both experience and technical knowledge of the process of group discussion.

Have a good knowledge of subjects under discussion.

Be able to give a quick review of the discussion, if asked.

Have a knowledge of writing business letters.

Typing skills and computer skills are an asset but not a necessity.

 Time Commitment: 

2 - 3 hours per month 

Orientation/Training: 

Resource material on the operation of the Board, the Community Concept and Leadership in recreation, planning and social issues.

Volunteer training workshops on running effective meetings and effective Board Operation.

 

                                                            

Position:  Volunteer Coordinator

 Objectives of Position:

  To assist in recruiting, motivating, training and evaluating of volunteers within the West Zone with the assistance of the zone staff.

Responsibilities of Position:

 1.  Co-ordinate the organization of the Volunteer Appreciation Celebration.

2.  Ensure the duties of Master Of Ceremonies for the Volunteer Appreciation Celebration is carried out.

3.  Establish a recruitment process including the design of recruitment materials and techniques.

4.  Chair the zone board nomination committee.

5.  Assist in the preparation and delivery of volunteer training workshops/seminars.

6.  Assist in the interviewing and placement of volunteers.

7.  Design an evaluation process in co-ordination with zone staff.

8.  Preside over the election of Zone Board Executive members. 

Qualifications: 

Organizational skills.

Knowledge of public relations.

Ability to work well with staff and other volunteers.

Experience in working with volunteers.

Knowledge of the community helpful.

Enthusiasm. 

Time Commitment: 

10 hours per month 

Orientation/Training: 

Training session will be offered as well as available resource materials.

 

 

 

 Position:  Programs & Special Events Co-ordinator

 Objectives of Position: 

 To initiate and co-ordinate major special events of the Zone Board.

 To recommend the committees necessary to co-ordinate zone special events and programs.

 To assist the West Zone Board Administrator &/or Community Leisure Specialist in the organization of zone programs.

 Responsibilities of Position: 

1.  Make recommendations to the Zone Board on special events that assist the Zone Board in meeting set goals.

2.  Develop and assist in the delivery of planned zone special events.

3.  Co-ordinate zone participation in special events throughout the city.

4.  Assist the West Zone Board Administrator &/or Community Leisure Staff in the organization  of zone
recreation programs that do not fall under the responsibility of the affiliated groups. 

Qualifications: 

Organizational Skills.

Public relations.

Ability to work well with people.

Interest and knowledge of a diversity of activities.

Program planning experience. 

Time Commitment: 

10 hours per month (heavier during programming seasons; September & January) 

Orientation/Training 

Resource material and workshops on program planning.

Workshops and resource material on the Community Concept, Parks and Recreation Department operation and Zone Board operation.
